Legal Administrative Assistant 

Salary: $80K

Previous experience as a Legal Administrative Assistant required; experience in land use/corp. transaction/municipal highly preferred

A full-service law firm located in the Greater Boston area is hiring an experienced and tech-savvy Legal Administrative Assistant. In this role, you will provide support to assigned attorneys/paralegals with the support necessary to serve the firm’s clients with a high degree of quality and professionalism. 


  • Legal Administrative Assistant will work effectively and positively with attorneys/paralegals and support staff keeping in mind that all work is treated with equal care in service to the firm’s clients
  • Create, edit, and finalize correspondence and legal documents (from dictation, hand-written materials, typed copy, master forms) in support of the supervising attorneys/paralegals, practice area, and the firm
  • Demonstrate a commitment to excellence in all documentation produced, including formatting and proofreading documents carefully and accurately copying, assembling, and distributing documents to clients, courts, agencies, attorneys, and other parties
  • Receive, screen, and transmit telephone and conference calls and messages to clients, attorneys/paralegals, and support staff in a professional and timely manner, including conveying a positive impression of the firm
  • Process and distribute outgoing and incoming mail (including client receipts) promptly 
  • Update (or ensures updates to) client, chron, and other necessary files including any practice-related databases  on a timely basis and coordinates the preparation and storage of closed files
  • Schedule appointments and maintain calendar and reminder systems apprising attorneys/paralegals of  responsibilities in advance of commitments
  • Coordinate conferences, meetings, and appointments for attorneys/paralegals and clients including conference room scheduling, ordering meals, and preparation of materials and also coordinates, as necessary, business-related travel arrangements securing air, hotel, and car rental plans for attorneys/paralegals
  • Coordinate legal work through Group Coordinator, overflow, and/or Office Services to ensure the prompt production and delivery of documents
  • Input attorney/paralegal timesheets on a daily basis and coordinates billing
  • Perform administrative tasks including processing new client/matter intake forms, conflict checks, expense reimbursements, and check requests
  • Maintain strict confidentiality of all client matters and Firm business


  • Previous experience as a Legal Administrative Assistant; experience in land use/corp. transaction/municipal highly preferred
  • High degree of proficiency in the operation of the computer including advanced knowledge of Microsoft Office and Rippe & Kingston LMS+
  • Excellent verbal, listening, and interpersonal skills including the ability to work effectively and positively within a team and to communicate with attorneys, paralegals, and members of the support staff in a clear, courteous, cooperative, and professional manner
  • Self-motivated, conscientious, exceptional attention to detail with a commitment to client service and excellence in producing quality work
  • Familiarity with the usage of legal terminology
  • Strong organizational skills and ability to exercise good judgment when establishing priorities according to deadlines, the importance of the task, and with regard to the workload when supporting more than one attorney/paralegal; ability to handle multiple tasks concurrently and work effectively under time deadlines
