Prior administrative experience required

A software organization in Boston has an immediate opening for a Temporary Administrative Assistant to join their office for the summer. They are looking for a responsible professional to perform a variety of administrative and clerical tasks.

Responsibilities

  • Administrative Assistant will keep the kitchen, conference rooms, and other common space clean and tidy
  • Check stock of food, beverages, coffee and cold brew, and office supplies regularly and ordering 
  • Order, set up, and clean up office lunches
  • Answer the door and greeting guests
  • If any on-site interviews are taking place, serving as a friendly, professional face of company, making sure the candidate has an excellent experience from start to finish
  • Accept packages, dispersing mail, and shipping out items as necessary, including new hire equipment and swag
  • Serve as main point of contact with building management to own and help quickly resolve any issues that may arise (e.g., scheduling maintenance)
  • Own new hire paperwork - setting up newly hired employees in HRIS and benefits platforms ahead of their first day, coordinating background checks, and making sure all information is completed in an accurate and timely manner
  • Help set relevant onboarding meetings for employees’ first week
  • Coordinate day-to-day logistics for selecting and distributing monthly company gifts
  • Plan and execute on social events
  • Co-running company summer outing 
  • Assist other teams in planning and executing team events
  • Monitor anonymous suggestion box and coordinate responses
  • Research and execute on monthly charity donations - research and then handling actual donations
  • Purchase SPIFs and auditing commission payments for Sales team
  • Acknowledge company birthdays and work anniversaries
  • Assist with other ad hoc special projects with People Team (benefits renewals, Values workshops, HRIS implementation, recruiting initiatives) and others (Marketing, Sales, Tech)

Requirements

  • Prior administrative experience
  • Possess excellent written and verbal communication skills
  • Strong organizational and administrative skills
  • Excellent attention to detail and ability to execute through to completion
