Responsibilities 

  • Administrative Assistant will provide administrative, clerical, and communication support to the  SSH Property Management Administrator, Scattered Site Housing Coordinator, and Scattered Site Housing Occupancy Specialist
  • Collect and maintain information for accurate written records in accordance with program standards, contracts and licensing requirements, and federal regulations
  • Assist the Scattered Site Housing team by providing support to staff and clients during times of crisis
  • Accept responsibility as a team player by being sensitive to the effects of job performance, office behavior, and participation in staff meetings and their effects on the ability of the team to meet its goals
  • Accept supervision and guidance and actively participates in efforts to improve the quality of performance
  • Provide clerical, administrative, and reception support to the Property Management staff including, but not limited to, ordering and maintaining office supplies, faxing, copying, organizing mail
  • Ensure timely data entry into SharePoint and OneSite
  • Process department move-ins, move-outs, transfers, unit acquisitions, and unit loss, for billing and reporting purposes
  • Maintain the Scattered Site Coordinator’s calendar by scheduling all initial, annual, and interim HUD Housing Quality Standard (HQS) inspections

Requirements

  • GED or Bachelor’s Degree
  • Strong written and verbal communication skills
  • Proficiency in office software and equipment including Microsoft Office Products (Word, Excel, and Outlook), internet use, telephone systems, and copy/scanner machines
  • Professionalism, reliability, integrity, and a strong work ethic
  • Ability to manage time well, performing an array of difficult tasks at the same time
  • The temperament to work with tenants with untreated mental health issues, addiction disorders, and poor hygiene
  • Ability to work in intense emotionally charged situations
  • Effective communication skills, seeking and providing information from various constituents
