2-5+ years of office administration experience in a business environment required

A Boston-based trade association is seeking an Administrative Assistant to join their team. In this role, you will be responsible for providing administrative support to facilitate the functioning of the association.

Responsibilities

  • Administrative Assistant will manage the day-to-day administrative responsibilities of the Executive Director
  • Acts as liaison between the Executive Director and employer members and Union
    Officials and ensures information is communicated to appropriate staff
  • Coordinates meetings with company staff, company employer members, Union Officials, ILA members, company consultants, and other individuals and agencies
  • Ensures the development and production of documents related to the daily work
    requirements of the Executive Director
  • Process information, complete documentation, maintain files, and monitor the status of  ongoing projects undertaken by the Executive Director  
  • Draft correspondence and memorandum
  • Prepare confidential correspondence, reports, and other documents, archive closed out projects
  • Answer, screen, respond to and forward telephone calls
  • Prepare travel arrangements for company staff
  • Prepare documents for various projects and project needs
  • Prepares expense reports for the Executive Director and company staff
  • Assist Controller and Assistant to the Controller with payroll
  • Prepare supply and purchase orders, manages vendor services, assists accounts payable
  • Assist with management of printer, telephone, and virtual meeting services contracts
  • Aide Assistant Controller with accounts payable

Requirements

  • GED required, secretarial graduate or Associate’s Degree is preferred
  • 2-5+ years of office administration experience in a business environment
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint, and ability to become proficient in the company's systems, including but not limited to KCML
  • Good analytical skills and experience tracking and analyzing data required
  • Ability to maintain confidentiality in all assignments
  • Ability to interact appropriately with a variety of people, including but not limited to, company employer members, union representatives, union members, and company consultants and service providers
  • Current and valid driver’s license
