  • Administrative Assistant will maintain office supplies to meet the needs of the department; maintain and order office equipment, when necessary
  • Provide customer service for departmental visitors and client traffic, including phones and electronic listservs
  • Create and process transactions for department purchases of goods, equipment and services, including speaker honoraria; maintain appropriate records in accordance with department, college and university policies
  • Maintain and develop confidential records, both paper files and databases, of faculty; provide record keeping assistance to graduate program staff, create new systems
  • Provide general assistance with the use of printers, copier, scanner, and desktop computers, and interface with college or university information technology staff for resolution of technical problems
  • Assist with the processing of employee, especially faculty, invoices travel related forms for reimbursement as defined by the university’s shared services initiative
  • Assist graduate program staff with program events, including making space reservations, printing and  posting promotional flyers and placing orders
  • Serve as point person for departmental space management and interface with facilities regarding the  needs of faculty, research assistants and staff
  • Assist chair with reports and department budgets
  • Assist chair, center director, faculty with pre-and post award grant support when available
  • Create and maintain databases and electronic mailing lists; gather, update and enter information to  retain current, accurate, organized and accessible records, to keep supervisor and departmental staff abreast of departmental functions and to adhere to university policies and procedures
  • Assist Departmental/College Personnel Committees, including adhoc committees for tenure, promotion, annual reviews, as well as academic governance committees with administrative support
  • Provide invoice support for Dean’s office academic program events
  • Generate electronic action forms (ePAF’s) for the department
  • Complete Pre Approval and Add Comp forms for the departments


  • Associate or Bachelor’s Degree in a business administration, accounting, or higher administration or  related degree
  • 3-5 years of progressively responsible administrative experience in an academic, government or on-profit setting
  • Knowledge of administrative software programs, including database, student account programs such as WISER, word processing, spreadsheet, and presentation programs such as Word, Excel, and  PowerPoint; willingness to learn new programs as necessary
  • Knowledge of standard higher education administrative, personnel, and operational procedures
  • Demonstrated ability to understand and apply university policies and procedures
  • Demonstrated ability to manage and improve operating systems and procedures to organize all major  administrative functions
  • Demonstrated ability to maintain a harmonious working relationship with a variety of professional,  students, and community persons from different racial, ethnic, cultural, and/or economic backgrounds as well as persons with disabilities
  • Ability to work independently within the department and with other central administrative units of the  university
  • Ability to maintain accurate records and to prepare summary reports
  • Ability to act with discretion and judgment and maintenance of confidentiality
