Temporary Client Service Coordinator

2-3 years of experience at a front desk/switchboard role in a professional services firm preferred
A leading Boston law firm is hiring a personable and experienced Temporary Client Service Coordinator to greet clients and visitors, notify personnel of their arrival, maintain the reception area and answer incoming calls to the firm. In addition, you will assist with scheduling conference rooms and coordinating associated requests with IT and Food Services.
Responsibilities
- Client Service Coordinator will welcome on-site visitors, determine the nature of business, and announce visitors to appropriate personnel
- Answer phone and determines the purpose of callers, and forward calls to appropriate personnel or department
- Ensure the reception area, including the coffee station, and conference rooms are tidy, presentable, and fully stocked
- Answer general questions about the firm and provide callers with address, directions, and other information
- Schedule conference rooms and coordinates support with IT and Food Services as required and provide backup support to IT and Food Services for conference room setups as needed
- Promptly responds to and reports issues from Facilities Helpline to building management
- Create and submit disbursement requests for the Facilities and Operations Department
- Assign and communicate a weekly visitor list for each office
- Additional duties as assigned, including project work for other administrative departments when needed
Requirements
- Associate’s Degree and/or minimum of 2-3 years of experience at a front desk/switchboard role in a professional services firm preferred
- Microsoft Word, Excel, PowerPoint, and Outlook skills
- Experience with Event Management Software
- Excellent research and business development skills
- Strong communication and organizational skills
