A Boston healthcare nonprofit is seeking a Temporary Facilities Manager to join their dynamic team. Apply to be responsible for the physical condition of the Waltham and Brighton sites and manage day to day facility and maintenance requests and needs.


  • Facilities Manager will perform or arrange for maintenance and repair of basic plumbing, heating, electrical and HVAC systems, and upkeep of these systems
  • Monitor work orders and manage vendors performing work at Health Center sites
  • Ensure that all building equipment is working properly
  • Perform basic carpentry, and perform or arrange for maintenance and repair of furniture
  • Keep up-to-date logs of all functioning inventories and necessary repairs and renovations
  • Review and approve invoices for facilities-related work, keeping costs in line with budget
  • Obtain building inspections and certificates needed to maintain clinic licenses and certifications
  • Provide guidance and recommendations regarding facility maintenance and improvements
  • Maintain a vendor list and coordinate vendor and repair services
  • Negotiate contracts for facility services such as landscaping, snow removal, and housekeeping
  • Serve as primary contact for the housekeeping vendor/department and ensure facilities are neat and clean at all times
  • Prepare or ensure organized meeting and lounge spaces are set up appropriately for meetings/functions according to reservations in the administrative calendar
  • Coordinate with IT when appropriate to ensure proper equipment as requested has been deployed
  • Arrange for security if an event is occuring during late or off hours
  • Serve as primary contact with landlords for leased facilities
  • Maintain, track, and review inspection schedule for all sites
  • Coordinate facility moves, and participate in the construction project team when needed
  • Transport, dispose of or relocate office equipment and furniture
  • Facilitate and apply for city permits for new and expanded construction
  • Create annual facilities operating and capital budgets based on furniture, equipment, and maintenance needs
  • Explore and implement utility energy savings programs


  • 3-5 years experience overseeing and performing facility maintenance, preferably in a medical setting
  • Experience in diverse culture preferred - Spanish language skills desirable
  • Knowledge of building codes
  • Familiarity with reading blueprints
  • Acceptable driving record and access to working vehicle
  • Excellent customer service skills
  • Ability to work in medical setting and maintain highest level of patient confidentiality
