Our client is seeking a Temporary Operations Coordinator to join their Dedham, MA office. In this role, you will be responsible for providing excellent support to the Finance and Operations department and the organization at large.

Responsibilities

  • Operations Coordinator will act as the primary point of contact for staff and visitors, maintaining high levels of customer service
  • Manage up to five main email accounts, fielding requests from external and internal parties
  • Handle printing and event support with Programs (graduation, other convenings, etc.)
  • Help with the administrative tasks associated with onboarding and offboarding of employees
  • Provide general office support including, but not limited to, sorting mail and packages and managing supplies requests
  • Provide filing and administrative assistance to the Finance and Operations department, including documenting incoming donations, assisting with bank deposits, and helping with the month-end close process
  • Ensure staff submit expense reports on time to facilitate timely book closing
  • Draft or update budget projections or reports as needed (e.g., grant proposals or reports)
  • Collect and update documents for our annual audit and tax filings
  • Support in drafting and reviewing vendor and consultant contracts
  • Google Drive and Box folder organization

Requirements

  • 2+ years of coordinator or assistant experience, preferably in operations, project management, or office administration with strong organizational and interpersonal skills
  • Resourceful, disciplined, and self-motivated with the ability to work independently in a hybrid work environment
  • Excellent analytical, communication, and listening skills
  • Ability to meet deadlines and meet time commitments
  • Strong computer proficiency in Google and Microsoft Office suites and comfort in learning new systems and technologies
  • Organized, results-driven, and can balance multiple projects while still keeping a close eye on the small details
  • Solutions-oriented with a strong ability to understand and follow directions
